Students with an approved accommodation for document conversion should have access to the reading materials at the same time, or as close as possible, as their peers. In order to address this, we recommend the following process:
- Follow the steps to Request Alternative Format Materials as soon as possible once your courses are finalized and have the course material you need converted.
- If you do not have the course material to submit for conversion, student gets in touch with the AEC Alternative Format & Accessible Technology Coordinator at least two weeks before the term starts to confirm your classes.
- Student and AEC staff will determine which one of them will reach out to instructors to acquire course material in advance of the term starting.
- Student or AEC staff will reach out to instructors two weeks before the term, then again one week before the term if we have not heard back from them.
- Request that instructors send the syllabus and the readings for weeks 1 & 2 (and further out if possible).
- Student and AEC staff will determine which one of them will reach out to instructors to acquire course material in advance of the term starting.
- The Alternative Format & Accessible Technology Coordinator will create a shared folder with the student where converted and accessible documents will be stored and accessed by the student.
